Who we are
Exact Handwriting Extractor is a service operated by Quantum Encoding Ltd, which is the data controller for personal data collected through this website and our extraction service. Contact us at hello@exacthandwritingextractor.com.
Data we collect
When you sign in with Google
- Your name, email address, and profile picture
- Your Google account identifier, used to recognise your account on return visits
When you contact us
- Name, email, company, and the contents of your message
- UTM parameters (for marketing attribution)
When you process an image
- The image or photo you upload (stored encrypted in Google Cloud Storage)
- The output format you choose
- Scan count, file size, processing timestamps
- Email address for delivery notification
Your account & credits
- Your credit balance and credit transaction history
- Your scan history — filenames, scan counts, status and timestamps

Your images
Uploaded images are stored encrypted at rest in Google Cloud Storage (EU region). Your images and the extracted text are retained for up to 90 days after processing so you can re-download them, then automatically deleted. You can request earlier deletion at any time via email.
We do not use your images to train any AI model, and we do not share them with any third party beyond the multimodal AI provider (Google Vertex AI) required to perform the extraction.
Who we share data with
- Cloudflare — website hosting, edge network, D1 database
- Google — sign-in / authentication (OAuth), image storage (GCS), extraction (Vertex AI, EU region)
- Resend — transactional email delivery
- Stripe — payment processing
Retention
- Uploaded images & outputs: up to 90 days, or earlier on request
- Account data: until you ask us to close your account
- Contact enquiries: up to 24 months, then deleted
- Billing records: 6 years (HMRC requirement)
- Analytics: up to 14 months
Your rights
Under UK GDPR, you have the right to access, rectify, erase, restrict, port, or object to our processing of your personal data. Email hello@exacthandwritingextractor.com and we'll respond within 30 days.
